Estimated Time: 18 - 20 Hours Over 2 - 4 Weeks

We are hosting an international conference in Wellington on 17 and 18 September 2020. We are seeking a volunteer with project or event management skills who can help us with a high level project plan for the conference. The plan will include a schedule for achieving all critical timelines, milestones and deadlines and will identify and where possible quantify the resources required for the delivery of the event. We are seeking a volunteer to work with the MNZ team and to pass on the knowledge and skills that enable best practice conference planning. Ideally experience in developing and writing project management plans and to include administrative and registration management, budgeting, venue booking and catering, marketing and promotion, brochure and registration form development, programming, speaker engagement local and international,

Working location

We are based in Wellington but can work with a volunteer remotely if needed.

Proposed project steps with time estimates

Step one – Volunteer reviews relevant materials
The volunteer is given relevant information on the mission statement, vision goals, work projects and other background documents that give a picture of how it operates, and its values.
Likely time commitment: 3 hours

Step two – Discussion and analysis
This will include MNZ’s previous experience of event management and discussion with key staff to discuss the objectives, strategies, staff experience of planning and managing local conferences, and the help the MNZ team will be able to provide.
Likely time commitment: 5 hours

Step three – Writing
Volunteer writes the high level project plan outlining the critical timelines, milestones and deadlines as well as the resources needed to help achieve the outcome.
Likely time commitment: 5 hours

The organisation provides feedback on the plan either by meeting or email.
Likely time commitment: 3 hours

Step Four – Delivery of the plan
Volunteer incorporates the feedback and updates the document.
Likely time commitment: 2 hours
