Position Overview: As the Volunteer Board Secretary, you will play a vital role in providing administrative and organizational support to the board of directors of our organization. Your exceptional organizational and communication skills will help ensure effective board operations and facilitate smooth decision-making processes. This voluntary position offers an exciting opportunity to contribute to our mission and make a positive impact in the community.

Responsibilities:
1. Meeting Management:
- Coordinate and schedule board meetings, ensuring all members are informed of meeting dates, times, and locations.
- Prepare and distribute meeting agendas and supporting documents in a timely manner.
- Attend board meetings, record accurate minutes, and maintain an organized record of meeting proceedings.

2. Documentation and Record-Keeping:
- Maintain official records and documents, including board policies, bylaws, meeting minutes, and resolutions.
- Ensure legal and regulatory compliance by keeping up-to-date with relevant laws and regulations.
- Safeguard confidential information and handle sensitive board-related matters with discretion.

3. Board Communication:
- Facilitate effective communication between the board and external stakeholders.
- Assist in drafting and distributing official correspondence, such as letters, emails, and announcements.
- Maintain open lines of communication with board members, addressing inquiries and requests promptly.

4. Annual Reporting and Compliance:
- Collaborate with board members to prepare annual reports and documentation required for regulatory compliance.
- Assist in the preparation and filing of necessary legal and financial documents.

5. Board Support and Development:
- Provide administrative support to the board chairperson, including scheduling meetings, coordinating board retreats, and managing travel arrangements if necessary.
- Assist with board member orientation and onboarding processes, ensuring smooth integration of new members.

Qualifications and Skills:
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in record-keeping and document management.
- Attention to detail and accuracy in preparing meeting minutes and official documents.
- Ability to maintain confidentiality and handle sensitive information.
- Strong interpersonal skills and the ability to work collaboratively with diverse board members.
- Familiarity with nonprofit organizations and board governance is desirable but not mandatory.

What We Have In Place

Our current Secretary has provided exceptional support and secretariat for the past two years plus, a change in her career focus requires for her to step back from being an officer of the KKM Board. A full supportive handover will be provided

Tamariki are at the heart of all we do. The Trust works to provide our members personal and business development workshops; networking opportunities; and promotion via our website, social media pages and events, through which they can reach and extend their audience. In doing so we provide kiwi kids and their families local content, made specifically for them, which connects more closely to their community; engendering awareness and a sense of belonging. The music covers all genres and age groups; it entertains, informs, educates and encourages emotion and physical response; participation and fun – all crucial to an individual’s wellbeing.
